Your assistant gets their own account in your systems with permissions limited to what the role needs, and multi-factor authentication on. You should never be emailing anyone a password.

Access ends when the assignment does

Revoked the same day, not whenever someone remembers. Offboarding is part of the process rather than an afterthought, because a live account belonging to someone who left is a breach waiting to happen.

PHI means a BAA. No exceptions.

An assistant handling protected health information is a business associate under HIPAA. That requires a signed Business Associate Agreement, documented training, minimum-necessary access and logged activity. If a VA provider offers you a “healthcare assistant” and never mentions a BAA, they don't know what they're selling.

Do we get the same assistant every day
Yes, on a dedicated engagement. You get a named person who learns your business, your systems and your preferences, with a trained backup briefed for holidays and sickness. Shared pools are cheaper and worse — nobody ever learns how you actually work.
Can a virtual assistant handle patient information
Only under the right conditions. An assistant who touches protected health information is a business associate under HIPAA: signed BAA, documented training, role-based access limited to minimum necessary, logged activity. If a provider offers you a healthcare assistant without mentioning any of that, walk away.
